Every inbound call to Woodstock, Marietta, South Charlotte and Newberry, July 1 to September 24, 2026. Each call was read and sorted, and only people calling to become a new patient are counted below. Prepared by ChiroX.

The marketing is getting new patients to pick up the phone. Most of them never get booked. More than half never talked to a person. Of the ones who did, fewer than half were booked. Three were sent to a competitor, and Marietta turned people away because the schedule was full.

Each form triggers a GoHighLevel follow-up automation. What we can't see is whether anyone at the clinic called them, how fast, or whether they booked. That's fix #6 below. Until it's in place, the fastest check is for each front desk to look up its form requests in Chiro180.

What happens on the call

"We are out of network. There is an office around the corner. It's called Outbound Chiropractic. They are in network."

South Charlotte, Dr. Madison, Sep 8. A 66-second call. The $149 cash exam never came up.

"If you're looking for something just really quick, usually The Joint Chiropractic is able to get you in the same day and same with 100% Chiropractic."

Marietta front desk, Sep 8. No availability that day.

"It would be 199 for the exam, the scans, the test and the consultation. And then we could go from there based on what he finds."

Woodstock front desk. The call ended there. No time offered, no phone number taken.

"Sometimes he makes exceptions."

Woodstock front desk, August, to a new patient asking to be seen that day. No time offered.

"So our new patient appointment is 149. I can give you the summer discount that's still running, making it 49."

Newberry front desk, Sep 17. The caller said she'd call back. No time offered, no number taken.

What's already working

When someone picks up and offers the exam, people book. Newberry booked 4 of 6 and Woodstock 3 of 6. The AI receptionist is also catching calls the front desk misses: first-time calls that rang out with no answer dropped from 26 in July to 1 in September.

Call back every voicemail and AI message within 15 minutes

28 of 52 new patients never spoke to a person. Most left a name and number. The AI can't book, so a person has to call them back the same hour.

Never refer an insurance caller out before offering the $149 exam

Script: "We're out of network, and most of our patients come to us anyway because the first visit is $149 with X-rays and a full exam. I have Thursday at 10 or 3, which works?"

Every new patient call ends with two specific times and a phone number

Not "sometimes he makes exceptions" or "call us back." Offer two times. If they don't book, take a name and number and call them the next day.

Open new patient slots at Marietta

Marietta has the most demand and is turning people away. Add a couple of held new patient slots a week, or we move some ad budget to a clinic with room until it does.

One price, everywhere

$149 at every clinic, every time. We heard $199 at Woodstock and $102 and $49 at Newberry.

Track every lead to "booked" or "not booked"

We're setting up a new patient pipeline in GoHighLevel so every call and form lands in one list. The front desk marks each one Contacted, Booked or Not Booked. Then next quarter's report shows every lead from first contact to booking.

How we counted

  • Source: every inbound call in CallRail for the four clinics, Jul 1 to Sep 24, 2026 (289 calls). Each was sorted using CallRail's call transcripts. Web form requests come from the landing page form submissions for the same dates, and they're counted separately because their outcome isn't tracked yet.
  • New patient call: someone asking to become a patient. Existing patients, family calling about an existing appointment, vendors, law firms, wrong numbers, robocalls and empty voicemails are all left out. Most calls to these numbers are not new patients.
  • Booked means an appointment was set on that call. It doesn't show who came in, and some callers may have booked later on a callback or online.
  • Callbacks: CallRail only sees calls made through CallRail. If staff call people back from the clinic's own phone, those callbacks don't show here. So this report doesn't count callbacks either way.
  • 120 calls rang out, were hung up, or left no message (including a robocaller hitting Charlotte). They can't be sorted, so they aren't counted as new patients. Some of them were.
  • The numbers per clinic are small. Act on the patterns, not on a single percentage.
